This Refund & Cancellation Policy applies to payments made through the College website, including Admission Fee, Application Fee, Registration Fee, Tuition/College Fee, Hostel Fee and other applicable academic or institutional charges.

1. Admission / Application / Registration Fee

Admission, application and registration fees paid through the College website are generally non-refundable and non-transferable.

Once the application, registration or admission process has been initiated or completed, the applicable fee will ordinarily not be refunded merely because a candidate changes their decision, does not participate further in the admission process, or decides not to join the course.

However, where any applicable order, notification, counselling guideline, government rule, university regulation or regulatory authority specifically provides for a refund, the refund will be processed in accordance with such applicable provision.

2. Tuition / College Fee

Tuition and other college fees paid after admission shall be subject to the applicable rules and conditions prescribed by the competent authorities, including applicable Government of Uttar Pradesh, AYUSH authorities, counselling authorities, University and NCISM regulations/guidelines, as applicable from time to time.

In case a student requests cancellation or withdrawal of admission, the eligibility for refund, if any, shall be determined according to the applicable rules, notified withdrawal/cancellation schedule and the terms applicable to the relevant admission session.

The College does not guarantee a refund where the applicable rules do not permit such refund.

3. Hostel Fee

Hostel fees are subject to the College’s applicable hostel rules and the terms communicated to the student at the time of allotment/admission.

Any refund of hostel fee, where applicable, shall be considered according to the applicable hostel rules, period of stay, cancellation/withdrawal date and applicable regulatory or institutional provisions.

4. Caution Money / Security Deposit

Where any refundable caution money or security deposit is applicable, its refund shall be subject to the applicable College rules and adjustment of any outstanding dues, damage charges or other lawful deductions, wherever applicable.

The refund, if eligible, will normally be processed after completion of the required clearance/formalities.

5. Failed or Unsuccessful Online Payment

If an amount is debited from the student’s/candidate’s bank account but the payment status on the College website is shown as Failed, Pending or Unsuccessful, the transaction will be verified and reconciled.

If the College has not received the payment amount, the amount may be reversed/refunded through the applicable banking/payment mechanism.

Students are advised not to make repeated payments immediately if an earlier transaction is showing as pending. They should first contact the College Admission/Accounts Office with the transaction details.

6. Duplicate Payment

If the same fee is accidentally paid more than once for the same application, admission or transaction, the duplicate transaction may be verified by the College.

After successful verification and reconciliation, the eligible duplicate amount may be refunded or adjusted, subject to applicable payment and accounting procedures.

7. Refund Processing

Where a refund is approved, the refund will normally be processed through the appropriate payment/banking channel and, wherever possible, to the original payment source/account used for the transaction.

The actual time taken for the amount to appear in the candidate’s bank account may depend on the concerned bank, payment gateway and other financial institutions.

8. Payment Gateway / Transaction Charges

Where applicable, payment gateway, banking or transaction-related charges may be treated separately in accordance with the terms applicable to the relevant payment transaction and applicable regulations.

No additional charge will be imposed contrary to applicable law or regulatory directions.

9. Cancellation / Withdrawal Request

A candidate or student seeking cancellation or withdrawal should submit a written request to the College through the prescribed process.

The request should include, wherever applicable:

  • Student/Candidate Name
  • Application/Admission Number
  • Course
  • Registered Mobile Number
  • Registered Email Address
  • Payment/Transaction ID
  • Date of Payment
  • Amount Paid
  • Reason for Cancellation/Withdrawal
  • Bank/Payment details, if required for verification

The College may require supporting documents before processing a refund request.

10. Counselling and Regulatory Rules

For admissions made through any Central, State or University counselling process, the applicable counselling notification, admission schedule, refund/forfeiture provisions and directions issued by the competent authority shall prevail.

If any Government, University, counselling authority, AYUSH authority or regulatory body issues a specific instruction regarding cancellation, withdrawal, refund or fee forfeiture, such instruction shall be followed by the College.

11. No Refund Based Solely on Change of Decision

Payment of an application, registration or admission-related fee does not create an unconditional right to refund.

A request based solely on a candidate’s change of decision, failure to join, personal reasons or non-participation will be considered according to the applicable rules governing that particular fee and admission process.

12. Fraudulent / Unauthorized Transactions

If a payment is suspected to be fraudulent, unauthorized or made through an incorrect payment instrument, the College may investigate the transaction and take appropriate action in accordance with applicable law and payment-system procedures.

Students should immediately report any suspected unauthorized transaction to the College and their respective bank/payment provider.

Bapu Ayurvedic Medical College & Hospital reserves the right to modify or update this Refund & Cancellation Policy when required due to changes in applicable law, government instructions, counselling procedures, university regulations, regulatory requirements or institutional policies.

The updated policy will be published on the official College website.

15. Acceptance of this Policy

By making an online payment through the official College website, the candidate/student acknowledges that they have read and understood this Refund & Cancellation Policy and agree to be bound by the applicable terms, rules and regulations governing the relevant payment and admission process.
